When a shop and its website keep separate stock records, the difficult part often comes after the sale: someone has to update the other system, find the customer's original order or work out which location should receive a return. Shopify POS brings store sales into the same Shopify environment as the online store, sharing product, order and customer information. Payments and loyalty rewards still need their own planning.
For Hong Kong merchants, three distinctions matter from the start. Basic in-person selling features come with paid Shopify plans. POS Pro is an additional subscription for selected locations. And Shopify Payments does not process in-person card payments in Hong Kong. A terminal that accepts a payment does not necessarily send its result back to Shopify POS. This guide explains the choices and checks using official information reviewed on 8 November 2026.
Start with the work your staff need to do
A functioning retail system does not need replacing simply because another product promises unified commerce. Identify the specific gaps first. Does a sale of the same item online and at the counter reduce the right stock? Can staff find an online order and prepare it for collection? When a customer returns an item, are stock and loyalty rewards corrected as well?
Turn those tasks into a demonstration checklist for the plan you intend to buy. If an ERP, warehouse or existing membership system will remain, decide which system owns products, available stock and reward balances. Allowing several systems to overwrite the same records can create problems when sales, returns and transfers are processed.
POS Lite or POS Pro: choose by workflow
Shopify now describes the features included with a paid plan as basic in-person selling features; merchants also commonly call them POS Lite. There is no separate add-on subscription for those features, but the underlying Shopify plan still costs money. The Hong Kong POS pricing page lists POS Pro at HK$695 per location per month, billed yearly, in addition to the Shopify plan and other costs. That figure should not be presented as a month-to-month subscription quote. Shopify Hong Kong POS pricing
| Requirement | Basic in-person features, commonly called POS Lite | POS Pro |
|---|---|---|
| Additional software subscription | Included with a paid Shopify plan | HK$695 per location per month, billed yearly; Shopify plan charged separately |
| Checkout and customer records | Everyday checkout and basic customer profiles | Richer profiles and additional retail workflows |
| Staff management | Access and limits depend on the Shopify plan | More staff access, roles and permissions |
| Inventory work | Basic product and location inventory management | Advanced retail inventory, counting and reporting tools |
| Store pickup | Online pickup can be configured and managed through Shopify admin | Pickup orders can be managed inside the POS app |
| Returns, refunds and exchanges | Basic returns and refunds at the original purchase location | Adds exchanges and returns across locations, subject to permissions and payment restrictions |
| Useful starting point | Pop-ups, markets or straightforward checkout | Stores needing staff permissions, pickup and more extensive retail operations |
The pickup row needs particular care: offering collection at online checkout and managing that collection inside the POS app are separate capabilities. The setup is explained below. Shopify POS subscription comparison
A single shop may need Pro because it has several staff roles, approval requirements or a busy collection desk. Several occasional selling locations might not all need it. Demonstrate the work before upgrading each location. For Shopify Plus, verify the number of included Pro locations and the applicable terms against the current plan or contract rather than assuming unlimited free Pro subscriptions. Payments in Hong Kong: separate collection from recording
In-person cards need an external terminal and processor
Shopify's Hong Kong guidance explicitly distinguishes online selling from POS card processing. Shopify Payments can be used for online sales in Hong Kong, but not for in-person POS card transactions. A Hong Kong shop needs an external terminal and a third-party payment processor for those transactions. Shopify Payments methods in Hong Kong
Shopify's documented external-terminal workflow is to collect the payment on the terminal, select a custom payment type in POS and mark the order as paid only after confirming success. Naming a custom payment type records how the order was paid; it does not itself charge a card or check a bank settlement. Staff need a procedure for failures, cancellations and possible duplicate payments. Shopify external card terminal workflow
If a supplier offers an automated connection, ask for a demonstration using the actual Hong Kong merchant account, terminal model, app and currency in the proposal. Check amount transfer, successful payment, timeout, cancellation, refund and end-of-day reconciliation. A payment logo on the terminal or a general claim of Shopify support does not establish that these steps are connected.
QR payments have their own eligibility and rates
Shopify also offers local payment methods in POS. An eligible method can display a QR code for the customer to complete payment on their own device, with POS then showing the result. Local methods processed through Shopify Payments use online rates rather than card-present rates. Shopify POS local payment methods
The official Shopify Payments pages for Alipay and WeChat Pay list Hong Kong as a supported region, but both are currently in early access and unavailable to some otherwise eligible merchants. Requirements include an eligible business category, a publicly accessible online store, removal of conflicting gateways and account approval. POS activation is also required. The documented product names are Alipay and WeChat Pay; that does not establish support for every AlipayHK or WeChat Pay HK wallet flow. Shopify Alipay requirements, Shopify WeChat Pay requirements
For PayMe, FPS and Octopus, confirm merchant onboarding, the terminal or QR arrangement, refunds and reconciliation with the provider individually. A payment app intended for POS must actually be available in the store's POS payment settings. Availability at online checkout alone does not establish POS support.
Buy hardware against a complete compatibility check
Shopify POS runs on supported iOS, iPadOS and Android devices. An iPad is one option, not a requirement, and an ordinary Windows checkout computer cannot run the POS app directly. Check the actual device, operating system and each accessory before buying. Shopify POS device requirements
Consider the device's remaining support life as well as today's minimum. Shopify has announced a move to iOS 18 and Android 13 requirements in 2027, with older operating systems needing an update by 6 June 2027. A low-cost older tablet may therefore be a poor purchase if it cannot be updated.
| Equipment | Confirm before ordering | Test at the counter |
|---|---|---|
| Phone or tablet and stand | Device and OS version, charging, ports and physical security | Repeated checkout, charging, staff changes and the customer's viewing angle |
| Barcode scanner | Exact model, 1D or 2D needs, connection and operating mode | Your own barcodes, including size variants, colours and small labels |
| Receipt printer | Exact model and LAN, Wi-Fi, Bluetooth or USB variant | Chinese text, discounts, refunds and printing after reconnection |
| Cash drawer | Compatible connection to the printer or other controlling device | Cash sales, refunds and authorised drawer opening |
| Payment terminal | Hong Kong merchant eligibility, supported methods, currency and connection | Success, decline, cancellation, refund and daily reconciliation |
Shopify's scanner list includes Socket Mobile models, and the device camera can also scan barcodes. Whether a separate scanner is worthwhile depends on checkout volume and the labels you use. Shopify barcode scanners Receipt printers such as Star mC-Print3 and TSP products come in different models and connection types. A brand or family name is not enough to specify a compatible purchase. Store pickup has an online setup and a POS workflow
Configure online store pickup in Shopify admin's delivery settings first. It requires at least one location that fulfils online orders and the required checkout version. Set each location's preparation time, collection instructions and inventory. Compatible themes can also show pickup availability on product pages. The absence of a Pro subscription should not be treated as proof that the online store cannot offer collection. Shopify online pickup setup
To prepare pickup orders, mark them ready and complete collection inside the POS app, the relevant location needs POS Pro. Staff also need permission to fulfil shipping and pickup orders. Order push notifications require activation and depend on the device's notification permissions. Managing pickup in Shopify POS
Before launch, place a test order and follow it from location selection through picking, reservation, the ready notification, customer identification and completed collection. Include a no-show, collection by another person, unavailable stock and cancellation. Check the actual notification and identification process rather than promising SMS messages or scannable collection codes for every order.
Connect shipping, loyalty and returns one workflow at a time
Taking a shipping order is only the first step
POS Pro allows staff to create orders for delivery to a customer's address, subject to shipping settings, fulfilment locations and staff permissions. Inventory deductions follow fulfilment priorities. Someone or a connected fulfilment system still has to pick, label, dispatch and track the parcel. Using Shopify POS does not automatically book an SF Express shipment. Shipping orders from Shopify POS
A shared customer record is not a shared rewards programme
Adding a customer to a sale links the order to that customer's record. Points, VIP tiers and redemption rules depend on the loyalty app or custom system selected. Some apps extend POS, while other features work only online; confirm the functionality and subscription level you need. Shopify POS apps and loyalty extensions
Do more than check whether a balance appears on screen. Use one customer to earn online, redeem in store, return part of an order and cancel another order, checking the balance each time. Establish how staff identify customers without a phone number and handle duplicate legacy records. Preserve an export of old points before migration, and reconcile opening balances and expiry rules.
Restocking and returning money are different actions
Decide which stores accept returns, who can approve them, where returned stock goes and when exchanges or store credit are offered. POS returns also depend on the order, subscription and payment method. An external-terminal payment recorded as a custom method needs a refund through that method's process. A refund recorded in Shopify should not be assumed to have instructed the external terminal or bank. Shopify POS returns and refunds
Budget for the whole setup and practise an outage
Include the Shopify plan, Pro locations, hardware, terminal purchase or rental, payment processing, loyalty or inventory apps, migration, setup, training and support. Shopify explicitly exempts POS orders from its third-party transaction fee. That does not remove the payment provider's processing or terminal charges. Shopify third-party transaction fees
Prepare for lost connectivity too. Shopify POS can record cash and manual payments offline, but syncing with admin and emailing receipts require an internet connection. Whether an external terminal or wallet continues taking payments is a separate provider question. Shopify's offline card functionality in other markets should not be assumed to apply to a Hong Kong terminal setup. Using Shopify POS offline
Pilot at one counter before switching the whole business. Use your products, barcodes and payment account to complete sales, collection, refunds, stock checks, reconciliation and recovery after a lost connection. Match closing stock, outstanding orders and membership balances in the old system to the opening records in the new one before expanding to other counters or stores.
For a joint assessment of store operations, the website, membership and ERP requirements, see Navy FAB's Shopify development and integration services. Bring your location count, existing payment provider, catalogue size and the workflows causing the most trouble. Confirm the required integrations, hardware and delivery scope line by line in the proposal.

Common Questions
Can a Hong Kong shop take contactless card payments through Shopify Payments?
Shopify's current Hong Kong guidance says Shopify Payments cannot process in-person POS card transactions. These require an external terminal and third-party processor. Eligible Alipay or WeChat Pay QR payments are a separate workflow with their own availability and rates.
Do PayMe, FPS and Octopus automatically sync with Shopify POS?
Do not assume this from the payment method's name. The provider must confirm the connection for the particular Hong Kong account, terminal or app. With a custom payment type, staff verify successful collection before marking the order as paid, and handle reconciliation and refunds separately.
Is POS Pro required to offer pickup at online checkout?
Not necessarily. Pickup can be configured through Shopify admin, subject to location and checkout requirements. The location needs Pro if staff want to manage pickup orders inside the POS app. Choose according to the process staff will actually use.
Can we keep our existing iPad, printer or scanner?
Check the complete model, operating system and connection type. Devices from the same brand are not automatically compatible. Shopify has also announced higher operating system requirements for 2027, so confirm that older devices can update, then test your own barcodes and receipts.
Can each branch keep a separate inventory?
Shopify supports inventory by location, with location limits depending on the Shopify plan. Configure each store and warehouse, fulfilment assignments, transfers and receiving procedures, and select the correct location on each POS device. A single fixed location limit does not apply to every plan. Shopify location management
Can staff keep selling without internet access?
They can record cash and manual payments offline, with limits on live inventory, features and payment methods. External-terminal payment availability is determined by its provider. Test a backup connection and the reconciliation process after recovery before relying on offline operation.
